GROUP USE POLICY

ASSIGNMENT OF ROOMS
- The Saskatoon Community Service Village reserves the right to reassign rooms if necessary. As a building housing 13 non-profit agencies we must give priority to the agencies located in the building. If an agency’s need necessitates the use of a reserved room, we will make every effort to relocate, reschedule or refund your event.
 
CANCELLATIONS - Notice of a cancellation must be received no later than 48 hours prior to the date of the event. Failure to cancel a room reservation may result in a $15.00 cancellation fee.
 
CHARGES - The cost to rent a room is $15 per hour for every hour or portion thereof plus GST. If you have rented a room that begins after normal business hours (Monday – Thursday after 8:00 pm, Friday after 6:00 pm, and all day Saturday and Sunday) you are required to pay a security fee. The cost for security is $6.75 per security check. Security checks are required every 4 hours. All charges will be included in the confirmation. However, should additional charges be incurred, they will be reflected on your invoice.

CONFIRMATION - Acceptance of this form does not constitute a confirmation of your request. A confirmation of the date, time, room number and charges (if any) will be sent to the contact person via email. It is the contact person’s responsibility to notify the Saskatoon Community Service Village at coordinator@villagesaskatoon.com of any corrections or additions that need to be made to the confirmation.
  
FACILITIES - Wireless internet and telephone connection is available in all common rooms. Please contact Village Coordinator to arrange access. For more specific equipment requests please contact the Village Coordinator at (306) 975-7760.
 
PARKING - All patrons of the Saskatoon Community Service Village have access to free 2 hour parking located adjacent to the Village and YWCA building. To avoid parking fines please encourage participants to move their vehicles following the 2 hour time period.  
 
PAYMENT- The complete fee is due no later than 48 hours prior to the date of the event as cash or cheque. Cheques should be made payable to the Saskatoon Community Service Village and can be mailed to the Saskatoon Community Service Village 101 – 506 25th Street East Saskatoon, SK  S7K 4A7.
 
RESPONSIBILITY OF DEPARTMENT/ORGANIZATION - It is expected that you will exercise proper care of the facility, furniture and media equipment. Make sure all trash is properly disposed of. Rooms that are not left in original condition may be subject to additional fees.

I HAVE reviewed the Saskatoon Community Service Village’s Group Use policy and agree to the terms and conditions specified in it. I understand that any abuse of the privilege of using this facility may result in denial of future use of it by me and the organization or group I represent.
